Information we collect from you

We collect and process the following types of information from you in the course of you using our Website and/or accessing our services:

  • Details of your visits to our Websites including, but not limited to, traffic data, location data, IP address, device data (e.g. device type, browser and operating system type), weblogs and other communication data, and the resources that you access. Where we receive your personal data from your employer (who is our client), we will process that data for the purposes of delivering services to that client. The categories of data we may receive include business contact details and work email. We rely on our client's authority as employer to share this data. Where required, we will provide this privacy notice to you within one month of receiving your data.

All personal details that you provide to us must be true, complete and accurate. If you provide us with inaccurate or false data, and we suspect or identify fraud, we will record this.

Uses made of your information

We will only use your personal information where we have a lawful basis to do so. The lawful purposes that we rely on are:

  • consent (where you choose to provide it),
  • performance of our contract with you;
  • legal compliance; and
  • legitimate interests. When we refer to legitimate interests we mean our legitimate business interests in the normal running of our business which do not materially impact your rights, freedom or interests.

We use information held about you in the following ways:

  • To ensure that content on the Website is presented in the most effective manner for you (Legitimate interest);
  • To provide you with information that you request from Us (Legitimate interests or Contract);
  • To provide services to you (Contract);
  • To carry out our obligations arising from any contracts entered into between you and Us (Contract).

Disclosure of your Information

For our legitimate interests, We routinely disclose your personal data to third parties as follows:

  • to subcontractors, third party service providers, agents, and other associated organisations who work with Us to provide services such as operational or administration support, Website design, document design or accountancy services.
  • to our IT software providers who provide us services such as IT platforms, Artificial Intelligence providers, domain hosting, email services, data storage, backup systems, accountancy software.

Where these third parties act as data processors, we ensure appropriate data processing agreements are in place and that personal data is handled in accordance with this policy.

We may also disclose your personal data to third parties:

  • if We or substantially all of our assets are acquired by a third party, in which case personal data held by Us about our customers will be one of the transferred assets; or
  • if We are under a duty to disclose or share your personal data in order to comply with any legal obligation, or in order to enforce Our agreements.

Use of AI Tools

We use AI-powered tools to assist with service delivery, document generation, and workflow automation. These tools are provided by third-party suppliers including OpenAI, Anthropic, Google and DeepGram. Where these tools process personal data, we ensure appropriate data processing agreements are in place and that personal data is handled in accordance with this policy.

We do not use AI tools to make decisions about individuals that have legal or similarly significant effects.

Storing your personal data

Security

We take appropriate measures to ensure that any personal data are kept secure, including security measures to prevent personal data from being accidentally lost, or used or accessed in an unauthorised way. We limit access to your personal data to those who have a genuine business need to know it. Those processing your information will do so only in an authorised manner and are subject to a duty of confidentiality.

We will notify you and any applicable regulator of a suspected data security breach where We are legally required to do so.

Unfortunately, the transmission of information via the internet is not completely secure. Although We will do our best to protect your personal data, We cannot guarantee the security of your data transmitted to the Website; any transmission is at your own risk. Once We have received your information, We will use strict procedures and security features to try to prevent unauthorised access.

Keeping your personal data up to date

We will endeavour to update your personal data within fourteen (14) working days of any new or updated personal data being provided to Us, in order to ensure that the personal data We hold about you is as accurate and up to date as possible.

How long we keep your personal data

We retain personal data only for as long as necessary for the purposes for which it was collected.

Typical retention periods include:

  • Information relating to the delivery of services: retained for the duration of the contract and up to 6 years
  • Financial and tax records: 6 years in accordance with legal requirements
  • General enquiries: up to 2 years
  • Marketing information: up to 2 years after our last contact with you
  • Website traffic and technical data
    • Analytics (such as device data, location data and Website visits) retained for 14 months from collection
    • Hosting and server data retained for a maximum of 36 hours from collection

We may retain data for longer where required to comply with legal obligations or to establish, exercise or defend legal claims.

At the end of the applicable retention period, personal data is securely deleted or anonymised so that it can no longer be associated with an identifiable individual. Where data is held by third-party processors, we request deletion in accordance with our data processing agreements.

Where we store your personal data

Your personal data may be transferred to and processed in countries outside the UK, including the United States, where our cloud hosting, email, and AI tool providers operate.

For transfers to countries with a UK adequacy decision (including EEA member states), no further safeguards are required.

For other countries, including the United States, we rely on the safeguards listed below:

  • UK adequacy regulations issued by the Secretary of State;
  • The UK International Data Transfer Agreement (IDTA);
  • The UK Addendum to the EU Standard Contractual Clauses; or
  • Other transfer mechanisms permitted under UK data protection law.

Your rights

Under applicable laws, you have a number of important rights in relation to your personal data:

  • require Us to correct any mistakes in your information which We hold

We do not carry out automated decision-making or profiling that produces legal or similarly significant effects on data subjects.

We reserve the right to modify this Policy at any time. We will notify you of any material changes to this Policy by email or by prominent notice on our Website.
